Privacy Statement Trade Fair Facility & Building Management 2026

This is the privacy statement of HoLaPress Communicatie, BV, Kluizerdijk 1, 5554 XA in Valkenswaard, registered in the Trade Register of the Chamber of Commerce under number 17080567, hereinafter referred to as: HoLaPress Communicatie. This privacy statement also applies to the sister companies of HoLaPress Communicatie, including HoLaPress Congresbureau.

Why this privacy statement?
HoLaPress Communications organizes events, including the Facility & Building Management Trade Fair, publishes magazines including the Facility Journal and the Sewerage Trade Journal, and communicates through websites and digital newsletters, among other channels. If you attend one of our events, participate in a trade fair as an exhibitor, visit a website out of interest, or respond to social media posts, we process certain personal data about you. We strive to be transparent about how we process your personal data. In this privacy statement, we therefore explain which personal data we collect and use, why we do so, and for what purpose. We recommend that you read this statement carefully.

What personal data do we process?
Event/website visitors. In exchange for sharing your information, you'll gain access to the events we organize, including the Facility & Building Management trade fair, as well as access to information on our websites. Once you attend one of our events, you can connect with participating exhibitors and access valuable content. You can share your information via a registration form at:

  • The website of the event in question;
  • Registration at the entrance of the event;
  • An exhibitor invitation URL: when you register via an exhibitor invitation, you share your data with both this exhibitor and with HOLAPRESS COMMUNICATIE;
  • A form on the website to access underlying information. We process at least the following from visitors to a trade fair and/or website:
    • Name;
    • Company Name/Organization;
    • Sex;
    • Address;
    • Phone number (optional);
    • E-mail address.

We also process your answers to any questions you may have about things like company size, areas of interest, or your position to make an event or website relevant to you. During our events, you often have the opportunity to attend lectures. Your access badge can be scanned to gain access to these lectures.
When you attend an event, you'll interact with exhibitors. An exhibitor may ask for your information, for example, by scanning your badge. If you consent, you'll share this information with the exhibitor in question.

Exhibitors, Sponsors and other participants;
Hereinafter referred to as “participants.” We process at least the following data from participants at an event:

  • Company Name/Organization;
  • Contact person name;
  • Sex;
  • Address;
  • Telephone numbers (landline and/or mobile);
  • E-mail address;
  • website;

If you contact us by phone, email, social media, chat or in any other way, your data will be recorded.

Website visitor data
HoLaPress Communicatie uses cookies when offering its services. Cookies are small text files that are placed on your computer, tablet, or mobile phone via a HoLaPress Communicatie website and are read when you visit our websites. To guarantee your privacy, HoLaPress Communicatie only places functional and analytical cookies, which are not shared with anyone.

Removing and refusing cookies
You can delete cookies on your device and refuse the placement of new cookies through your browser settings. The method for doing so varies by browser.

Social media expressions
The data you provide on social media, or that we collect based on your responses to social media posts about one of our events, digital platforms, or trade publications, is processed by HoLaPress Communicatie. This may include personal data you provide on the contact page of the relevant platform, such as your email address, name, address, city, or telephone number.

Applicants
If you apply for a job with HoLaPress Communicatie or if you respond to a vacancy that may or may not be posted on our website, you may provide us with information about yourself, such as your CV.

Image recordings
Photos and videos are taken at our events for reporting and recording purposes. Therefore, you may be captured in photos or videos that we use after the event.

For what purpose do we process your data?

Services
HoLaPress Communicatie processes your personal data to provide our services to you. This includes registering for the trade fair for which you have registered or in which you are a participating exhibitor, sending tickets to grant you access to the trade fair, answering questions and complaints about the trade fair, and preparing, sending, and collecting invoices from exhibitors.

To inform
To communicate with you and keep you informed by email, post, or telephone, HoLaPress Communicatie processes your personal data. You will receive (practical) information about the event you have registered for or are participating in, such as participating exhibitors, lectures, start and end times, directions, and parking.
We use the electronic contact information we received upon registration or participation to send you emails about similar HoLaPress Communicatie activities, including trade fairs, conferences, trade journals, and workshops. You can unsubscribe from these messages at any time using the unsubscribe instructions in each email. We also use your address information to send you mail about our trade fairs.
We never sell personal data of our visitors and exhibitors to third parties.

Profiling
To make your trade show visit as relevant as possible, we use profiling. For example, we inform you about speakers and exhibitors at a trade show that may be of interest to you. You have the right to object to profiling for direct marketing purposes at any time.

Analysis and (market) research
We may use your personal data for research and analysis, with the aim of improving HoLaPress Communicatie's services. We may also ask you to participate in a non-binding market research or survey after an event to help us improve our services. Participation in the survey is entirely voluntary.

Contact HoLaPress Communications
If you contact us or we contact you by phone, email, social media, chat, or otherwise, your information will be recorded. This allows HoLaPress Communicatie staff to see later that you've been in contact before and what the topic was. This allows us to help you faster and more effectively. For example, if you have questions about our services, payments, complaints, or participate in market research.

Applicants
We process applicant data as part of a recruitment and selection procedure, with the aim of selecting the right person from the candidates submitted for a specific vacancy and providing feedback to each applicant.

Legal obligation
HoLaPress Communicatie may be required by law or regulation to process your personal data and/or provide it to third parties. For example, when a competent authority, such as the tax authorities or the police, requests this in connection with a criminal investigation.

May we process your data?
HoLaPress Communicatie processes personal data based on your explicit consent, if this is necessary for the performance of an agreement, a legal obligation or a legitimate interest of HoLaPress Communicatie to process your data for direct marketing purposes, whereby you always have the option to unsubscribe.

How do we handle the security of your data?
HoLaPress Communicatie implements appropriate technical and organizational security measures to protect personal data against loss, destruction, damage, unauthorized access, or any other form of unlawful processing. We do this by implementing physical and organizational measures for access security, protecting each desktop with a username and password, and managing authorizations to ensure your data is not accessible to all HoLaPress Communicatie employees. This also includes keeping software up-to-date and regularly testing our security measures.

How long do we store your data?
We retain your data for as long as necessary to achieve the purposes for which we process your data and for no longer than legally permitted. The final retention period varies depending on the type of personal data. If you have attended one of our trade fairs, we will retain your data until you unsubscribe. We retain your electronic contact information for sending direct mailings until you unsubscribe from these emails. We use applicant data for up to four weeks after the end of the application process, or for as long as we have received your consent. After a retention period expires, your personal data will be anonymized or deleted.

Does HoLaPress Communicatie use third-party services when processing data?
HoLaPress Communicatie may use services from third parties. This only occurs after security and privacy screening and only after the third party has signed a data processing agreement regarding the use and protection of personal data. Activities involving third parties include: visitor registration, CRM system, email marketing, online marketing, and hosting.

Does HoLaPress Communicatie provide data to third parties?
In principle, HoLaPress Communicatie does not provide or sell data to third parties. However, HoLaPress Communicatie may be required by law or regulation to process your personal data and/or provide it to third parties. For example, when a competent authority requires this.

Does HoLaPress Communications meet the legal requirements?
HoLaPress Communicatie handles your personal data with the utmost care and complies with the laws and regulations regarding the protection of personal data, such as the General Data Protection Regulation (GDPR) and related laws and regulations.

How can you influence the processing of your personal data?
Everyone whose personal data we process has the following rights:

  • access to your personal data and a copy thereof;
  • correction of your personal data if it is incorrect;
  • having data erased or anonymized because it is no longer correct or, for example, because you have withdrawn your consent;
