In recent years, the Rijksmuseum Amsterdam has taken steps to become completely paperless. This led to the need to digitize the remaining physical files of the purchasing department. Karmac, specialized in converting and structuring paper archives into digital information, was commissioned for this project.
The documents consisted of binders and suspension files necessary for current and future work. By making these files available digitally, the information provision better aligns with the contract management system and the working methods within the museum's new office. The digitization process included scanning, indexing, and carefully processing the documents so they can be easily retrieved.
To gain a better understanding of the project's implementation, Rijksmuseum staff visited Karmac's Lelystad location. During this visit, the document processing process was explained and they gained insight into how physical archives are converted into digital files. A return visit followed, during which Karmac staff were welcomed at the Rijksmuseum office. In addition to an explanation of the internal organization, they were also given a tour of the museum.
The collaboration demonstrates how digitisation of archives contributes to a more efficient organisation of administrative processes.
